[Hiring] Virtual Assistant — Healthcare Admin Specialist @Dietitian Group

Role Description

We are a growing nutrition private practice looking for a highly detail-oriented, proactive Virtual Assistant to support our clinical operations. This is not a general VA role. You will be working inside a fast-moving medical office environment managing patient communications, insurance records, scheduling, and practice software daily.

If you thrive on systems, take ownership of your work without being reminded, and communicate proactively when something goes wrong — we want to hear from you.

What You'll Do

  • Manage patient intake and scheduling workflows
  • Verify insurance eligibility and document coverage details accurately
  • Maintain and update patient records across multiple platforms
  • Communicate with patients and providers professionally via phone, text, and email
  • Flag issues and blockers proactively — before they become problems

Qualifications

  • Fluent in written and spoken English — not just conversational
  • Experienced in medical or healthcare office administration
  • Obsessively detail oriented
  • A proactive communicator and problem solver
  • Comfortable working independently with minimal supervision

Requirements

  • Minimum 2 years experience in a medical or healthcare administrative role
  • Reliable high speed internet with a documented backup connection
  • Quiet professional workspace
  • Availability Monday through Friday 8AM to 5PM CST
  • Two professional references available for a video or phone call
  • Experience working in a nutrition, dietitian, or outpatient wellness practice is a strong plus but not required. Insurance-based medical office experience will be considered
